Privacy

1. Introduction

Dragon Boats New South Wales Incorporated (collectively referred to as "we", "us" and DBNSW) is subject to the NSW Privacy and Personal Information Protection Act (1988).

This Privacy Statement explains in general terms how the DBNSW protects the privacy of your personal information under the National Privacy Principles. It will apply to any personal information you provide to us:

  • when joining DBNSW as a new or renewing member;
  • when accessing personal information through Clubs Online and any other membership databases and systems;
  • when registering your details for a survey, courses, workshops, seminars or any other purpose;
  • via the dbnsw.org.au website, DBNSW mailing lists; and under any other agreement or arrangement.

This Privacy Statement will also apply to any information about you that is provided to us by a third party (e.g. dragon boat clubs and their membership officers).

This Privacy Statement does not apply to employee records.

 

2. What personal information is collected?

The types of personal information that we collect from you will depend on the circumstances of collection and on the type of service you request from us.

Personal information collected may include where appropriate your name, birth date, home address, other address, telephone numbers, fax numbers, email address, qualifications relating to the sport of dragon boat, and any other membership details.

In addition, when you visit www.dbnsw.org.au, the following information is recorded by the service provider for statistical purposes:

  • a record of your IP address;
  • the date and time of your visit to the site;
  • the pages accessed and documents downloaded;
  • the version of your operating system and web browser; and
  • the referring site if you followed a link to get here.

No attempts are made to identify anyone browsing our site. The data is captured so that the DBNSW can accurately evaluate the quality of the content on the website and make continuous improvements.

The only time our site is able to identify you is if you have completed an online form or enquiry and agreed to provide your details. In this case, the DBNSW website maintains a register of your user details in order to make your return visits to the site (and access to information relevant to your association with DBNSW) easier for you.

 

3. Statistical Information

DBNSW uses Google Analytics, a web analytics service provided by Google, Inc. ("Google").  Google Analytics uses "cookies", which are text files placed on your computer, to help the website analyse how users use the site.The information generated by the cookie about your use of the website (including your IP address) will be transmitted to and stored by Google on servers in the United States.

Google will use this information for the purpose of evaluating your use of the website, compiling reports on website activity for website operators and providing other services relating to website activity and internet usage.

Google may also transfer this information to third parties where required to do so by law, or where such third parties process the information on Google's behalf. Google will not associate your IP address with any other data held by Google. By using any of our websites, you consent to the processing of data about you by Google in the manner and for the purposes set out above. 4. How is personal information collected?

DBNSW may collect personal information from you when you deal with us over the telephone, send us correspondence (whether by letter, fax or email), visit our website or when you have contact with us in person. As well as collecting personal information directly from you, there may be occasions when we collect information about you from a third party. For example, from a person or organisation who are making a membership related enquiry on your behalf (e.g. ordering ID tags).

 

5. How is your personal information used?

DBNSW may use your personal information for the following purposes:

  • to process your DBNSW membership (new and renewing);
  • when accessing personal information through Clubs Online and any other membership databases and systems;
  • when registering your details for a survey, courses, workshops, seminars or any other purpose;
  • to conduct marketing activities and to conduct market research; 
  • to send updates to various membership groups (e.g. DBNSW Clubs, Bank St training list, coaches, regional clubs etc).

Some of the personal information we collect is essential for us to be able to accurately identify who is using the products and services. Other types of personal information is collected to help us to profile who is using our products and services and what their interest are in order to improve member services through research, marketing, product and services development and planning.


6. Disclosure

DBNSW may at times disclose your personal information to a third party, to whom we contract out certain services. For example, we engaged third party suppliers to:

  • provide electronic funds transfer services, credit card account processing and related services;
  • provide information technology services such as data storage and processing, software,system development and maintenance.

In these situations DBNSW prohibits the third party contractor from using your personal information except for the specific purpose for which we supply it.

Under no circumstances will DBNSW sell or receive payment for licensing or disclosing your personal information.

Notwithstanding the above, DBNSW will share information with third parties if:

  • we need to share personal information in order to provide the product or service requested;
  • we are legally obliged to do so; or, 
  • we are otherwise required or committed by the Privacy Act 1988.


7. Access and Alteration to Personal Information

DBNSW facilitates individuals to access their personal information in the following manner:

  • the request must be in writing;
  • DBNSW will endeavour to respond in writing to requests for access within twenty eight (28) days of the receipt of the request at the office of DBNSW; and 
  • DBNSW may impose a charge on providing access to the personal information depending on the nature of the request.

If a person wishes to alter personal information held by DBNSW, they should advise us in writing of the required changes. DBNSW will endeavour to make the changes requested within twenty eight (28) days of the receipt of the changes at the office of DBNSW, provided that we are satisfied that the changes are accurate, complete and up to date. DBNSW will not confirm the changes are made unless specifically requested to do so.

 

8. Changes to this Privacy Statement

The DBNSW Privacy Statement may change from time to time due to legal or business requirements. Any changes to this Privacy Statement will be updated on www.dbnsw.org.au.

This statement was last updated in March 2011.

 

9. Complaints

In the event that a person considers that DBNSW has breached the policy on privacy, they should provide details of the circumstances in writing to DBNSW. DBNSW will endeavour to respond to such a complaint within twenty eight (28) days of its receipt at the office of DBNSW.
